How to Customize Lead Phases

This article will walk you through the steps on how to customize your lead phases.

To customize the lead phases in your portal, go to Accounts & Settings in your sidebar, then open the Leads sub-tab.

From there, scroll to the Lead Phases section and select the pencil icon to edit your lead phases.

You can:

  • Add new lead phases

  • Delete unused lead phases

  • Set a default phase for new leads

Deleting Lead Phases

Lead phases can be deleted if they are not currently in use.

Please note:

  • A phase cannot be deleted if a lead is currently assigned to it

  • The default phase cannot be deleted

  • Some phases are required and must remain in place

Closed Lost, Closed Won, and n/a are required system phases and cannot be edited.

To delete a phase, click on the trash icon next to the field.

Setting a Default Phase

You can choose which phase new leads start in by setting a default phase. All newly submitted leads will start in this phase and will remain in the selected phase while in Pending.

If leads remain in Pending for an extended period, make sure your default phase reflects how you want those leads displayed.

Any phase customization connected to your CRM will only apply once a lead has been mapped.


If you delete a lead phase that is currently mapped to your CRM, phase updates from the CRM will no longer apply to that deleted phase, and a CRM error will be triggered instead.

A Closed Lost phase can trigger your PartnerPortal.io leads to expire automatically. If you prefer to expire leads manually, make sure the "Trigger Leads to expire" option is turned off.
